Organization Training Manager User Guide

Manage learners, assign Training Plans, monitor progress, and coordinate Training Managers.

Your role: An Organization Training Manager (OTM) can manage all learners and assign Training Plans for an organization. Training Managers (TMs) have access only to their assigned Training Plans.

1. Getting started

Use Training Manager to add learners, assign training, review progress, resend access information, and manage Training Manager assignments.

  1. Open your account menu. Select Training Courses.
  2. Select Access Training Manager. This button appears in the Learner Management panel for authorized managers.
  3. Choose an organization if prompted. Managers connected to more than one organization will see an Organization selector.
Tip: Bookmark the Training Manager page after opening it. Your access is tied to your TechPipeline account, so sign in with the email address that received the manager invitation.

2. Select the organization

If you manage more than one organization, use the Organization menu near the top of the page before making changes. Otherwise, skip to step 3.

  1. Confirm the organization name. The summary also shows learner capacity, number of Training Plans, and number of Training Managers.
  2. Switch organizations as needed. Learners, Training Plans, capacity, and the manager list update for the selected organization.
Important: Always confirm the selected organization before adding a learner, importing a CSV, changing training, or resending information.

3. Find and add an existing learner

Start in Add/Update Learner and type or paste a name or complete email address. Existing TechPipeline users appear automatically.

  1. Select the matching person. Check both the name and email address before continuing.
  2. Choose one or more Training Plans. This is optional; training can be assigned later.
  3. Preview and confirm. Review the learner and selected Training Plans before saving.

4. Create a new learner

If no matching account exists, enter the learner’s complete email address in the search field. The first-name and last-name fields will then appear below.

  1. Enter the complete email address. A partial address cannot be used to create an account.
  2. Enter first and last name. Confirm spelling before continuing; these names appear in the learner profile and emails.
  3. Select Training Plans, preview, and add. A welcome email is sent when new training is assigned.

5. Import learners from a CSV

Bulk Import is useful when adding several learners at once. The importer validates every row before making changes.

  1. Select Bulk Import Learners. Download the sample CSV if you need a template.
  2. Prepare three columns. Use the headers first_name, last_name, and email.
  3. Upload the CSV. Drag and drop the file or select Browse.

The import window accepts a CSV and provides a sample file.
Validation rules: Email addresses must be correctly formatted and use a domain approved for the organization. Invalid rows are excluded automatically.

6. Review the import

The review screen separates valid learners from excluded rows and shows how the import will affect organization capacity.

  1. Check Organization Capacity. Confirm that the projected total stays within your available seats.
  2. Review each status. Rows may be new learners, existing accounts, or existing organization learners.
  3. Correct or continue. Fix the source CSV and upload it again, or continue with only the valid rows shown.
  4. Assign Training Plans (Optional). Select any plans that should apply to every included learner, then choose Import Learners. If you choose not to assign training you can assign to individual learners later.

7. Monitor and finish the import

Keep the import window open while processing. A progress panel shows how many learners have been processed.

  1. Wait for Import Complete. Do not close the window during processing.
  2. Review the totals. The summary distinguishes new accounts, existing accounts, training assignments, and failures.
  3. Download the Import Report. Keep it for your records or use it to investigate an unexpected row.
  4. Select View Learners. Return to the learner table and confirm the imported group.

8. Use the learner table

The learner table summarizes organization capacity and progress. Search, filter, and sort controls help you locate the right people.

  • Search by name or email. Use Training Plan, Progress, and Activity filters to narrow the list.
  • Review the summary cards. Organization Average Progress reflects the entire organization, not only the currently filtered rows.
  • Select learners for a bulk email resend of their individual training information. Use individual checkboxes or Select all visible learners.

Privacy: Training Managers see only the learners and Training Plans they are authorized to manage. OTMs can view all learners in the organization.

9. Review a learner’s progress

Select a learner’s name to open the Learner Profile. Progress is organized by Training Plan and then by course.

  • Review the profile summary. See overall completion, recent activity, quiz averages, and assigned Training Plans.
  • Expand a Training Plan. See course completion, lessons completed, estimated time remaining, and quiz results.
  • Open course or certificate links. Completed courses may include a certificate link.

  2. Select Preview Changes. Confirm the learner and plans to be added before saving.

Progress is retained: Removing an assignment affects access. If the learner receives the same course through another Training Plan, that course remains available.

11. Resend access information or remove a learner

Use Resend Training Info when a learner needs their training link or first-time password instructions again.

  • Resend to one learner. Open the Learner Profile and select Resend Training Info.
  • Resend to several learners. Open the Learners Table on the Training Manager page and select multiple learners in the table, then select Resend Training Info.

To remove a learner, open the Learner Profile, select Remove, and confirm the warning.

Removal is not deletion: Removing a learner ends access to the organization’s training. It does not delete the person’s TechPipeline account.

12. Manage Training Managers

The Training Managers section shows each manager’s role and assigned Training Plans.

  • Organization Training Managers have access to all Training Plans in the organization.
  • Training Managers can be assigned to manage one or more specific Training Plans. Select the plans and save the assignments.
  • Resend Manager Info sends the manager-access message and sign-in instructions again.
  • Request Removal leads to a contact form where you can request TechPipeline to remove manager access.

To request the addition or removal of another Training Manager, use the Manager Support contact form. TechPipeline reviews and approves manager status.

13. Notifications and good practices

Training notification preferences are available from Training Courses page in your account menu.

  • Course completed sends a notice when a learner finishes a course.
  • Training Plan completed sends a notice when a learner completes every course in a Training Plan.
  • Save Preferences applies your choices. Notifications are limited to learners and Training Plans you manage.
Before making changes: Confirm the organization, learner email address, selected Training Plans, and any projected capacity change.
When something looks wrong: Refresh the page once, confirm the selected organization, and try the search again. If the problem continues, contact TechPipeline and include the learner email address, organization name, and a screenshot if possible.
